Confirm the practical details

Check the table count, shapes and capacity with the venue. Agree where the couple, wedding party, dance floor and service areas will be. Discuss any mobility or access needs directly with your venue team.

Check the names, one by one

Give every attending guest their own entry. Confirm partner names, children and any late changes. Keep unconfirmed guests identifiable in your working spreadsheet so they do not become accidental final assignments.

Arrange the groups that need care

Decide which couples, families or friends should sit together. Record the preferences and any pairs who should be at separate tables. Talk through sensitive arrangements privately with the people making the plan.

Walk through the final version

Review each table for capacity and company, then look at the whole venue map. Check for unassigned guests and unresolved preferences. Export the list and share a reviewed copy with the venue, keeping your private planning notes separate.
