The planning notebook

A guest list that is ready to seat.

A clean guest list saves you retyping and makes seating preferences easier to match. Download the Seating CSV template, use one guest per row and check your import preview before continuing.

01

Start with a name column

Only the guest’s name is required. Put each person on a separate row, even when they are attending as a couple or family. Use consistent, distinct names so you can recognise each guest when seating them.

02

Add the context you need

The template includes relationship, priority, age group, must-sit-with and must-not-sit-with columns. You can leave optional values empty and add the details later in the guest editor.

03

Match preferences to guest names

Use guest names from the same list when entering seating preferences. Check import warnings for unmatched names, spelling differences or ambiguous entries, and review the relationships after import.

04

Export, upload and review

Save or download your spreadsheet as a CSV file. Seating accepts CSV files up to 2 MB and 5,000 guests per import. Review the preview and any warnings before importing. Keep a copy of the original spreadsheet.

Why is my spreadsheet file not importing?

Export the spreadsheet as a .csv file first. Check that it has a name column, stays within the 2 MB file limit and contains no more than 5,000 guests. Use the template headers if you are unsure.
